Vending Opportunities

We will be hosting an exhibition hall of dozens of talented artists and creators!

Artist’s Alley

  • Half table (4′) – $90
    • Includes 1 chair, 1 standard weekend registration
  • Full table (8′)- $180
    • Includes 2 chairs, 1 standard weekend registration

Each table is 30″ deep and will come dressed with black linen. These tables come with approximately 3 feet of space behind the table. Please specify if you need accessible seating. 4′ tables come with one chair per section and 8′ tables come with two chairs. Additional chairs will be available as needed, but please be respectful of your neighbors and try not to encroach on them.

These costs include the $20 temporary business license fee required for Reno, Nevada. This fee can be subtracted from your total if you already have a Reno business license.

Exhibitor Booth

  • 10×10′ Booth – $300
    • Includes 1 table, 2 chairs, 2 standard weekend registrations
  • 10×20′ Booth – $600
    • Includes 2 tables, 2 chairs, 2 standard weekend registrations

Exhibit booths are either 10×10 feet or 10×20 feet. Please specify if you need accessible seating. Vendors have the option of adding power for $150. Each table is 30″ deep and will come dressed with black linen. Additional tables and chairs will be available as needed. You can also have additional helper badge (up to 1 additional for half tables, 2 for full tables, 3 for 10x10s booths, and 4 for 10×20 booths) for $45 each.

Vending Policies

At SONIC NEON, we are fairly flexible. We want you to feel comfortable with what is offered and enjoy your time.

  • Vendors are responsible for paying for their tables/booths no later than April 15, 2025. If payment is not received by then or they have not requested an extension, their space will be given to the next available individual on the waitlist.
  • Pets are not allowed in the convention space. However, service animals that comply with the State of Nevada statute (NRS 426.510) are permitted on the property. If you plan to bring a service animal, please inform us in advance so we can make the necessary accommodations for you and your service animal.

To apply for a space in our vendor hall, you also agree to the following:

  • You agree that it is your responsibility to verify and obtain approval for any merchandise you sell on behalf of any intellectual property.

Taxes

One very important requirement for vending at SONIC NEON is the submission of taxes at the end of the convention. We will provide you with the necessary documentation upon check in. There will be a team of individuals who can offer support and assistance available at Vendor Services if you have any questions.

  • If you choose to sell your items as “tax-inclusive”, you must have a sign clearly stating such displayed at your booth at all times.
  • You are responsible for collecting and remitting taxes to SONIC NEON at the end of the convention. We will provide you with a packet upon check in with the necessary paperwork and a cheat sheet to ensure you have everything you need.
    • The only exception is if you hold a city of Reno business license. In that case, you are not required to remit taxes at the end of the convention, provided you file your taxes quarterly or annually with the state of Nevada.
  • IF YOU DO NOT SUBMIT YOUR TAXES BY THE END OF THE CONVENTION, YOU WILL BE PERMANENTLY BANNED FROM ANY AND ALL EVENTS RUN BY SONIC NEON AND WILL BE REPORTED TO THE NEVADA DEPARTMENT OF TAXATION.
    • Really, don’t do this! Submitting taxes may sound scary, but it actually isn’t!

Restricted Items

  • No selling of merchandise not created/designed by or for you (this includes official merchandise from any IP). Absolutely no drop shippers or counterfeit items. If you have commissioned someone to create a unique piece with resell rights, you may sell that. If you are uncertain, please feel free to reach out to ask for clarification.
  • You are allowed to have and sell 3D-printed creations, however, they must have been a proprietary design created by or specifically for you. You can not use a blanket/paid license to reprint items en masse, e.g., open-source items like articulated dragons or fidget toys.
  • If selling 18+ material, any potential purchaser must show ID before viewing or purchasing said material. 18+ material must not be readily visible, even if censored.
  • No content shall contain anything involving racism, sexism, drug usage, or other any inappropriate or illegal material.
  • Due to Nevada state law, raffles are strictly prohibited.
  • Food and beverage can not be sold at vendor tables. This includes individually pre-packaged items. You may give away small candies at your table, but they can not be sold.

Cancellations

If for some reason you are unable to make the convention, please let us know by May 1st, 2025. After that date, refunds are subject to our ability to resell the space.

Selection Process

We plan to open vendor applications on January 15, 2025 (tentative), and will keep them open for 30 days. Once applications are submitted, the SONIC NEON staff will review and evaluate each applicant individually. The highest-rated applicants will be offered a booth space. The evaluation criteria include factors such as the variety of items, merchandise quality, reputation within the community and fandom, and booth presentation.
